Why we built COI Tracker
A simple workspace for a hated admin job — not a vendor platform.

The job is not “got the PDF”
A spreadsheet can hold a filename and a date. That is not the same as knowing whether a vendor meets the requirements you set.
Office managers already know this. The sheet says we’ll get it Monday. The plumber is already in the building. The Additional Insured box is checked on a cert that never attached the endorsement. Someone named the tab FINAL_v7 and meant it.
Uploads and reminders are table stakes
Asking a contractor to create an account is how COIs stall. A magic-link upload is the right default. Automatic chase before a certificate lapses is the right default too.
Those two moves are now common. They are not a strategy by themselves. Differentiation is whether the tool is built for property managers, HOAs, and mid-size GCs still living in spreadsheets — or for a vendor network that wants everyone in a portal.
What we refuse to fake
Certificate holder is not Additional Insured. A checkbox on the face of an ACORD 25 is not an endorsement. Waiver, primary and noncontributory, and completed operations live on the endorsement page, not in a yellow cell.
COI Tracker extracts limits, dates, and Additional Insured from the PDF for you to confirm. Status is computed against your org defaults or a property’s custom limits. We do not auto-green endorsement lines. That is the product, not a disclaimer at the bottom.
What we did build
Collect certificates without vendor logins. Confirm the extract. See daily status. Chase what is expired, missing, short, or coming due. Export a ZIP of current COIs and a spreadsheet of who meets requirements when the owner or lender asks.
